General Data Protection Regulation (GDPR)

Privacy Notice

QPARA will use the information we hold about you only for the purposes of running the Residents’ Association in line with our Constitution. We have a legitimate interest under the GDPR to hold and use your information.  

We use your name, address and contact details to inform you about the activities of the Association (such as by sending you minutes of meetings) and to invite you to take part in activities consistent with our Constitution (such as monthly meetings or QPARA events). 

We use your address to determine whether you are a Full or Associate member of the Association and which Zone you belong to.

We keep a record of whether you are claiming a concessionary membership rate so that we can collect the correct subscription fee from you.

We keep a record of the payments that we have received from you, so that we can keep track of your membership status.

Where you have provided bank account details to us, we use these to set up a standing order to collect your annual subscription at a discounted rate.  

Security of and handling your information

Our Membership Secretary keeps the information you have given us on the membership application form or via email on a secure server.  It is secured using a password. The Membership Secretary will from time to time back up the data and update the software on their computer to make sure that it is properly protected.  

The Membership Secretary may give your contact details to Street Representatives or other officers so that they can contact you about the activities of the Association. Where QPARA officers or Zone Representatives email groups of members, they will avoid sharing your email address with other members by blind copying the email to everyone in the email group.

Your rights

Please contact the Membership Secretary at qpmembership@gmail.com, if you wish to see what information we store on you, change your details or be removed from our membership list.
